About this Role

We’re looking for a Receptionist / Administration Support to be the first point of contact for whānau and visitors, while supporting our teams with day-to-day administration.


This role sits at the front of the organisation — welcoming people, managing communication, and helping keep internal systems running smoothly.

Key Responsibilities

Reception & Front Desk

  • Welcome and manaaki all visitors and whānau

  • Answer and direct phone calls

  • Manage visitor and staff sign-in systems

  • Handle incoming/outgoing mail and couriers

  • Maintain a clean and welcoming reception area

  • Keep office supplies stocked


Administration Support

  • Support teams with general admin tasks

  • Prepare documents, letters, and client files

  • Scan and manage records in databases

  • Assist with meeting minutes and documentation

  • Ensure forms and resources are up to date

  • Help prepare client intake and referral packs


Operations Support

  • Assist with organising hui (bookings, catering, setup/packdown)

  • Coordinate team resources and timesheets

  • Support vehicle management (WOF, rego, servicing, logs)

  • Maintain filing and organisational systems

What We're Looking For

Essential

  • Friendly, confident, and professional — comfortable being the face of the organisation

  • Strong organisational and multitasking skills

  • Good communication (written and verbal)

  • Solid computer skills (especially databases and admin systems)

  • Ability to work with whānau and diverse communities

  • Commitment to Te Tiriti o Waitangi and tikanga Māori

  • Full, clean driver’s licence

Desirable

  • Experience in administration or office systems

  • Relevant admin qualification

  • Ability to use te reo Māori
