About this Role

We’re looking for a highly organised Administrator to support the General Manager and wider organisation. This role sits at the centre of operations — managing communication, coordinating meetings, handling confidential information, and keeping systems running smoothly.

You’ll be the first point of contact for the General Manager and play a key role in ensuring day-to-day administrative, financial, and organisational tasks are handled efficiently.

Key Responsibilities

General Administration

  • Manage calendars, meetings, travel, and bookings

  • Handle incoming/outgoing emails and correspondence

  • Maintain filing systems and organisational records

  • Coordinate internal communications (e.g. newsletters)

Executive Support

  • Support the General Manager with daily operations

  • Prepare reports, presentations, and documentation

  • Organise and record meetings, including minutes

Board & Committee Support

  • Prepare agendas and distribute meeting packs

  • Record and distribute minutes

  • Coordinate Board and Committee meetings

Confidential & Communication Tasks

  • Handle sensitive information with discretion

  • Respond to information requests and reporting needs

Human Resources Support

  • Assist with recruitment documentation

  • Support onboarding and induction processes

  • Maintain HR records

Finance Support

  • Assist with invoicing, payroll, and accounts

  • Support financial reporting and audits

Operations & Logistics

  • Manage office supplies and purchasing

  • Coordinate maintenance of equipment and assets

  • Support vehicle fleet management (WOF, rego, servicing)

  • Assist with health & safety requirements

What We're Looking For

Essential Skills & Experience

  • Strong organisational and time management skills

  • Confident using Microsoft Office (Outlook, Word, Excel)

  • Excellent written and verbal communication

  • Ability to manage multiple priorities and deadlines

  • Strong interpersonal skills and professionalism

  • Ability to maintain confidentiality

Requirements

  • Full, clean driver’s licence

  • Ability to pass a police vetting check

  • Willingness to undertake ongoing training

Desirable

  • Experience in administration or office systems

  • Knowledge of the Privacy Act 2020

  • Understanding of or ability to use te reo Māori and tikanga Māori
